Privacy policy

Last updated 28 September 2026

Lotmark is run by Stratum ICS, Georgetown, Guyana. This page explains what we store, where, who helps us process it and for how long. For the records an agency keeps about its clients and properties, the agency decides what is collected and why, and we process them on its behalf. For your own account, we are responsible. Contact us at hello@stratumics.com.

What we store

  • Your account: name, email address, phone number, the sign-in codes we email you and your signed-in sessions, with the browser and address they came from, for security.
  • Your agency and team: the agency’s details, logo and website settings, and who is on the team with which role.
  • Clients and contacts: the people your agency adds or who enquire through its website: names, phone numbers, email addresses, what they are looking for, notes and the messages your team records.
  • Listings and photos, including the owner’s details and the terms of the mandate.
  • Documents: files your team uploads, such as identity documents, agreements, receipts and inspection photos.
  • Compliance records: the client files the AML/CFT Act asks agents to keep, and a record of each time a file or document is opened.
  • Billing: your plan and the reference Polar gives your subscription. Card details are held by Polar and Stripe, never by us.
  • Agency websites: enquiries visitors send, and counts of visits to listing pages. The address a request comes from is used to stop spam. We use no advertising trackers.

Where it is kept and who processes it

  • Supabase keeps the database and uploaded files, in the United States. Identity documents and client files are in private storage that only your team can open.
  • Vercel hosts Lotmark and the agency websites.
  • Resend sends our emails, such as sign-in codes and notices to your team.
  • Anthropic provides the writing help. It receives only the text and photos an agent chooses to send to it, for example when asking for a listing description or reading a pasted WhatsApp chat, and does not use them to train its models.
  • Polar takes payments for plans, with Stripe processing the card.
  • OpenFreeMap serves the map tiles on agency websites, so a visitor’s browser asks it for the map around a listing.

We do not sell personal information, and we share it with no one else except when the law requires us to.

How long it is kept

We keep your agency’s records while the account exists. The AML/CFT records an agency must keep for a number of years are the agency’s to keep: it can download them at any time. Demo agencies, made from the sample data when someone tries the demo, are deleted after 24 hours.

Deleting it

An agency owner can download everything and then delete the agency from Settings. Its records are removed from Lotmark and later from our backups as they are replaced. If you are a client of an agency and want your information corrected or removed, ask the agency first, since the records are theirs; you can also write to us and we will pass the request on.

Keeping it safe

Connections are encrypted, each agency can see only its own records, and sign-in uses codes sent to your email rather than passwords. Each time someone opens an identity document or a client file, it is recorded.
